Office Manager (Boston)

We are an integrated, full service, marketing communications agency that delivers entrepreneurial solutions to our clients’ marketing challenges. We are looking to hire an inspired Office Manager to join our fast-paced, energetic creative team. 

We expect the Office Manager to:

  • Enable the best work from agency staff to happen at all times; ensure all resources are available and working
  • Take great pride and respect in the office work space from cleanliness and functionality to overall aesthetic
  • Represent the face of AMP culture positively and energetically at all times to all employees and all visitors

Responsibilities: 

  • Manage the daily workflow of the office; keeping us moving at the pace of our business
    • Opening/closing the office
    • Cleanliness of the space with a focus on lobby, kitchen, conference rooms, supply rooms
    • Coffee, tea and other kitchen supplies, as well as Thursday lunch
    • Answering front desk calls
    • Greeting front desk visitors
    • Assist in meeting scheduling / conference room bookings as needed
    • Ensure all technology is working
    • Administer Recycling/Trash program
    • Server Room maintenance / implementation of equipment
    • Office Security contact
    • Train and manage interns & temps on covering the front desk for lunch breaks and other periods where coverage is required
    • Manage office supply inventory, management and ordering
    • Manage business card ordering
    • Mail sorting
  • Provide administrative support to Senior Management
    • Booking travel 
    • Ordering catering for client meetings
  • Building Management
    • Primary contact for building management on maintenance requests
    • Implement the visual design of the agency; ensure any graphic posted visibly in the office conforms to AMP brand standards
  • HR/IT Support
    • On-boarding / terminations – work with HR Generalist to:
    • Set up new user tickets for equipment (computer/phones/keycards)
    • Own seating chart updates
    • New hire orientation
    • Update company directories
    • Work as liaison for employment verification I-9s

 

  • Required Competencies
    • BA/BS degree is required in a related field
    • At least 1 year of previous experience working in a fast-paced office setting is required
    • The successful candidate will demonstrate an upbeat, positive and enthusiastic manner with a penchant for customer service
    • Excellent verbal/written communication skills, as well as demonstrated organization skills, are required;
    • MS Office skills and Internet skills at an intermediate level are required
